Digital systems & automation

Internal tools for the work that keeps costing you time.

We build tools, dashboards and automations for the processes your team runs every week. What gets built follows the process, not a template.

Request a digital system

When too much of the work stays manual.

A quote takes three attempts because the numbers live in three files. An inquiry is missed because it only ever existed in one inbox. Processes like these are what we look at first, before anyone builds anything.

Quotes take too long because the same details have to be collected again every time

Customer inquiries disappear into email threads or WhatsApp messages

Information sits in several spreadsheets, folders or tools at once

Work gets done twice, or waits because nobody is clearly responsible for it

Neither management nor the team can see the current picture quickly

Customers, staff and applicants keep asking for the same information

Systems built around one specific process.

Internal dashboards

Tasks, figures, inquiries and open replies in a single view instead of across several files.

Inquiry and lead systems

Inquiries can be recorded with a status and the person responsible for them.

Quote calculators

Pricing logic that repeats is set up once, so a first estimate is not worked out by hand every time.

Customer and staff portals

People can see for themselves which documents exist, what has been approved, and where things currently stand.

Automated workflows

Forms, email, spreadsheets and databases can be connected so the same data is not typed in twice.

Admin interfaces

Maintain data and review how a process is running without opening individual files again.

From our own day-to-day

NovaWeb Lead Core

An internal system for lead research, scoring and outreach. We built it for ourselves and we use it ourselves. It is not a product and it is not a promise.

  1. ProblemLeads, websites, contact details and follow-ups were spread over separate spreadsheets, notes and chat threads.
  2. SolutionOne internal dashboard that holds lead capture, scoring, prioritization, outreach stages and handling together.
  3. ValueCapture, prioritization and follow-ups sit in one system, each with a visible state of play.
  4. Where else it fitsThe same shape works for inquiries, applications, documents, tasks or project overviews.

The kind of process this suits.

Route inquiries to one place

New inquiries arrive in one place instead of staying split between email and WhatsApp.

Work through applications in one view

Documents, follow-up questions and the status of an application stay together, even when several people are reading along.

Keep documents and approvals together

Records and sign-offs stay in one place instead of being dug back out of folders and chat threads.

Make tasks and projects visible

The team can see what is still open and who takes the next step.

Prepare quotes

The details a quote always needs are asked for up front, before anyone in the business has to chase them.

Show customers where things stand

Customers can check status, documents and next steps themselves.

Manual work

What does manual work cost?

A system is only worth building if it saves time or prevents mistakes in the actual working day. Sounding modern is not a reason to build one.

These are illustrative round numbers. They are not measured from a customer project and they are not a forecast for your business.

If the review turns up no benefit worth having, it ends there and no system gets built.

From process to tool.

01

Understand the process

We look at which process costs time, is hard to follow, or keeps being done by hand.

02

Check the benefit

Before any development we check what it is worth: does the system save time, or does it only move the effort somewhere else?

03

Outline the solution

We settle which functions are needed, and what is deliberately left out.

04

Build the system

If the review comes out in favor, we build a tool that fits the company, the process and the budget.

05

Keep developing it

Once the system is part of the working day, we extend it where extending it pays.

Why there is no list price on this page.

We look at the problem, how often it comes up, how much time it takes, who is involved, and how the work is handled today.

After the short process review we say whether a system is worth building and what it realistically takes.

Common questions

What is a digital system?

A digital system supports one particular process in a company, as a tool, a dashboard or an automation. It is pointed at a concrete problem: giving inquiries a structure, bringing data together, making tasks visible, or taking steps out of something that repeats.

When is a custom tool worth it?

A custom tool comes into question when a process regularly costs time, causes mistakes, or stays hard to follow. It also has to be clear enough to describe before software can support it. How often it comes up is part of the assessment.

Does NovaWeb build complete business software?

No. NovaWeb builds targeted systems for specific processes. We do not build general off-the-shelf software, and we do not take on unnecessarily large projects. First we check whether a system for that process is sensible, realistic and worth the money.

What can a digital system include?

Internal dashboards, inquiry systems, quote calculators, customer or staff portals, admin interfaces, or automation between forms, email, spreadsheets and databases. The scope follows the problem, not a fixed catalog of features.

How does the process review work?

We go through the process together. Where does the effort come from? How often does it happen? How many people are involved? Then we check whether a digital system can genuinely support it, and estimate what it would take to build.

What does a digital system cost?

That depends on the problem, the scope and the benefit. After a short process review we give you the likely effort. Without knowing how the process runs, a blanket price would not tell you anything.

Which process quietly costs you time every week?

Describe it in a few sentences. We will tell you whether it is worth a system of its own, or whether something simpler would do the job.
